Westerville, Ohio September 22, 2026 - IntelliLogic, a software platform built for medical device distributors, today announced three additions to its platform: a Training module for building and assigning rep courses, an Expense Tracking module with approval by company administrators and HR, and an AI Assistant that answers questions about a user’s data while enforcing the same role and permission rules as the rest of the system.
The three modules address work that most distributorships still handle outside any system. Product training is delivered as a slide deck and a sign-off sheet. Rep expenses arrive by text message and are reconstructed in a spreadsheet at month end. And questions a rep could answer for themselves - whether a tray has been requested, whether a charge sheet has been received - are asked of the office instead, because finding the answer takes longer than sending the text.
The Training module lets a company administrator or HR user build a course in three steps: course details including a passing grade, modules with written content and an optional image, and quiz questions. Courses are published to a library and assigned to selected reps with an optional due date, which triggers an email and an in-app notification to each rep. A rep receives a single attempt at the quiz. A further attempt must be requested and approved by the company administrator or HR, and the reporting view shows each rep’s status, score, attempts, retake requests and completion date for every course assigned to them.
“A quiz that a rep can retake until the number comes out right is not evidence of anything,” said Karrie Short, founder of IntelliLogic. “Manufacturers and hospitals both want to know that the person walking into their operating room understands the product. One attempt, and a second one that a manager actually agreed to, is a record you can put in front of them.”
The Expense Tracking module gives reps a mobile form for recording each expense as it happens, with a date, one of seven categories, an amount, a description and a receipt photographed or uploaded as a JPG, PNG or PDF. Expenses are held as drafts until the rep submits a group of them as a report, at which point the company administrator and HR are emailed automatically. Approvers can approve a report, reject it with a written reason, or add notes, and mark it reimbursed once paid. Four running totals - pending approval, approved but not yet reimbursed, total outstanding, and reimbursed this month - show the company’s current position with its reps at a glance. The AI Assistant allows a signed-in user to ask for their data in plain language rather than navigating to it. Its defining characteristic is what it will not show: a sales representative sees only their own cases, charge sheets, commissions and expenses; an HR user sees rep documentation and approvals; and company administrator information, such as the commission rate each manufacturer pays the company, is withheld from every other role. The permission check is applied to the underlying data before an answer is produced, so rephrasing a question does not widen what a user can see. Each session opens with four suggested questions chosen for the user’s role, and after every answer the assistant proposes follow-up questions within the same boundary.
“Every vendor is bolting a chat box onto their database right now, and very few of them will tell you what a rep can get out of it,” Short said. “Ours inherits the permissions the platform already has. There is no second set of rules to keep in step, and no phrasing that gets a rep to the manufacturer’s rate.”
